What’s it like managing your EPI without K-S.One?
Without a PPE inventory management tool, it is all too common to end up with Excel files scattered amongst colleagues, forgotten equipment inspection dates, or even an inspector turning up and asking in vain for the maintenance record of a harness purchased several years ago. Unfortunately, many safety managers find themselves in these situations.
Without a tool, it quickly becomes difficult to stay organised. Regulations require individual traceability for each item of PPE, periodic inspections and immediate access to instruction manuals, declarations of conformity and other product-related documents.
It is against this backdrop that we created K-S.One.
What exactly is K-S.One?
K-S.One is a free web application, developed in 2018 to make it easier for you to manage and track your personal protective equipment. It works on smartphones, computers and tablets, with no installation required, to ensure it is as convenient as possible and suitable for all types of users.
The principle is simple: every KRATOS SAFETY product comes with an identification label featuring a QR code. A single scan is all it takes to access all the product’s details directly:
- Product reference
- Serial and batch numbers
- Date of manufacture
- User manual
- Declaration of conformity
- Product life cycle record
- All reports from previous inspections carried out on the platform

To ensure clarity, ease of understanding and efficiency, we have introduced a three-colour indicator to show the status of the product:
🟢 Green = compliant product
🟠 Orange = product to be registered
🔴 Red = non-compliant product

How do I record and assign my PPE in K-S.One?
Every item of KRATOS SAFETY PPE is registered in K-S.One as soon as it is manufactured. All you need to do is assign it to the relevant employee. If a piece of equipment changes hands, the transfer is managed via the same interface. And if an item is out of service or permanently unusable, you can remove it from your list to keep your inventory accurate and free from errors that could distort your tracking records.
Does K-S.One only work with KRATOS SAFETY products?
K-S.ONE allows you to record and track all types of personal protective equipment, regardless of the brand. You don’t have to juggle between multiple tools depending on where your PPE comes from. Your entire stock is centralised in one place. Contact us to find out more about K-S.One Lab labels.
Can several people access the same data?
Yes. Information is shared amongst all authorised members, whether they are staff members, safety officers or the administrator. This means that everyone can work from the same information in real time. However, only the administrator or a KRATOS SAFETY-certified controller can make changes.
What is a personal profile and what is it used for?
The equipment record contains the complete history of a piece of equipment. It includes all its periodic inspections, their dates and their results. In the event of a regulatory inspection or an accident, this document serves as proof that the PPE has been properly maintained and checked in accordance with the regulations. With K-S.One, this record is generated and updated automatically, so you do not need to enter any details manually.
How can you be sure not to miss a review date?
K-S.One sends automatic email reminders before the inspection due dates for each item of PPE in your stock, so that nothing is overlooked.

Who can access the K-S.One controller area?
Access to the inspection system is restricted to professionals who have been pre-approved by KRATOS SAFETY. Login details are only provided once the relevant training has been successfully completed. This provides a tangible guarantee for companies whose PPE is inspected.
Are the documents required for the audit available directly within the app?
Yes. Inspection log sheets, inspection guides, maintenance documents – everything is accessible via K-S.ONE. The inspector arrives on site with everything they need, on their smartphone, tablet or even their PC.
How does a periodic audit with K-S.One work?
The inspector carries out their inspection using the log sheet built into the app. Once the inspection is complete, the product history sheet is automatically generated, including the date, result and the inspector’s details, so there is no need to re-enter any information manually. Since the latest update, they can also add photos directly during the inspection, which is particularly useful for documenting any faults or visible wear and tear.
Is the life record accessible to the company after the audit?
Yes. As soon as the inspector approves their inspection, the updated asset record is available to the fleet manager. The data is transferred automatically, without the need to exchange files via email or for any manual intervention, so that everything is handled within the application.
